To see another representation of the quick styles shown in the Quick Style Gallery - one that will be familiar to someone who has worked with Word 2003 and earlier - click on the sloping arrow in the lower right corner of the Styles group (or press Ctrl+Alt+Shift+S (Mac Cmd+Opt+Shift+S)) to open the Styles Task Pane. This also shows styles that. I had the Styles and Formatting panel open and curiously chose to hide a paragraph style. Now I can't find a list that includes hidden styles to put it back where it belongs. Is there a check box I am not hitting or an option in the Office Launcher that I should be navigating to? Word 2003 and earlier, by default, displayed the style at the insertion point (a character style, if applied; otherwise the paragraph style) in the Style dropdown on the Formatting toolbar. By default, Word 2007 and above do not display styles this way, but they do offer multiple ways to get information about styles.
According to the APA style, the body of the paragraph follows directly after level 3, 4 and 5 headings. However, when using MS Word’s automated Table of Contents (TOC), if a heading style is applied to the heading so that it can automatically populate in the TOC, the text that follows the heading gets the heading style, too. The reason? Style selections are saved in the paragraph marks that follow the text. The solution? Insert the InsertStyleSeparator after the heading, then proceed with a different style on the same line. See the directions below for how to do this!
What Style Separator Tags Can Do for You
Style separator tags allow you to do the following:
- Apply heading styles to a single word or phrase in a paragraph so that only that word or phrase appears in the TOC.
- Include two styles in a single paragraph so that the lead-in paragraph appears in the TOC.
- Apply outline levels to lead-in text so that only the lead-in text appears in the TOC.
- Apply outline levels to a single word or phrase in a paragraph so that only that word or phrase appears in the TOC.
It does this by inserting a hidden paragraph mark that serves as a delineator between separate styles applied in a document.
Step 1: Make the Style Separator Mark Visible
To make the style separator mark visible, follow these steps:
- On the Tools menu, click Options.
- On the View tab, click All under Formatting Marks.
Step 2: Add the Style Separator Button to Your Toolbar
Before you can use the Style Separator feature, you must add the Style Separator button to your toolbar:
- Click Customize on the Tools menu.
- Click the Commands tab, and then click All Commands in the Categories list.
- Locate InsertStyleSeparator in the Commands list, and then drag it to the Formatting toolbar. Click Close.
Step 3: Add the Style Separator Button to the Toolbar
To add the Style Separator button to the toolbar in Office Word 2007 or in Word 2010, follow these steps:
- Click the Microsoft Office button, and then click Word Options.
- Click Customize.
- In the Choose commands from list, click All Commands.
- In the list of commands, click Sytle Separator, click Add, and then click OK.

Benefits of Using Word Heading Styles
Modifying “Styles” in a Word document is a good technique to use the formatting tools in Word, while creating more accessible content. Using Word Styles tools allows you to:
- to personalize and design your Word documents while using recommended styles such as Heading 1, Heading 2 and others.
- to easily create table of contents by finding and listing content based on styles
- to facilitate transition of content to other formats and preserve heading structure (e.g. export to a tagged PDF or to an InDesign template)
- to globally modify content by changing one Style setting. This includes modifications needed for a low vision student or a student with other reading/visual processing issues.
Modify Headings in Word 2013 (Windows)
Note: The instructions below are mainly based on Office 2013 for Windows. But, with very minor modifications, they can be used for Office 2016 for Mac and Office 2010 for Windows as well.
- Highlight the text and format using the Font tools in the ribbon. You may apply headings using Styles in the tool ribbon or using the Key commands Ctrl+Alt+1 (Windows)
- Open the Styles Pane. Windows Key commands: Alt+H,F,Y,F6.
- Then right click on the desired Heading style you wish that text to resemble and select “Update Heading to Match Selection.” This will modify all the headings for this document.
